Silver/Bronze Championship Meet

Rutgers University

Timers:

There are two 8-lane pools.  Hosting team/teams need to supply one timer per lane, plus a back-up timer.  The back-up timer also acts as the timing coordinator.   It would be great if we had two shifts for timing, so each timer only timed for half the time.  If this is not possible, timers will have to time the entire session.  The timing coordinators responsibilities would include checking in all timers for their pool, making sure that host team timers and timers from the other teams show up and are assigned to the correct lane.  They also need to make sure that non-hosting teams full fill their responsibilities, timers are relieved, when needed, and stay throughout the entire session acting as a back-up timer.

Admissions:

Admissions need four or five people to collect at the main entrance.  They need to collect admission and sell programs.  Everyone’s hands must be stamped.  Berkeley has told us that people try to get in without paying even at championship meets.  All spectators are expected to pay an admission fee.  No exceptions, even if they are timing for their team or their child is only swimming in one event.  They are charged for one day.  If they have swimmers in 2 different sessions and their hand is stamped, they are not charged the second time entering the meet.

Elite and Morris County Parents will not be charged admission, as long as they are working at the meet.  They are given a ticket for admission.

Admissions workers will need to make change, count the money and check hand stamps when people enter the building.

Announcer:

An Announcer is needed at each session to announce information, call for heat sheets, timers, and lead pledge of allegiance or announce singer for the national anthem along with announcing the results of each race throughout the meet.  This person should have a clear loud voice.

Runners & Odd Jobs:

A Runner is needed at each pool.  This person’s job is to help out on odd jobs where needed.  They will be asked to hang results, do medals, relieve timers if needed and help out with any emergency.  At all sessions you need a person to fill in at any task.

Safety Marshal:

A Safety Marshal (preferably two) is needed at each pool.  We will provide them with a brightly colored Tee shirt so they can easily be identified on the pool deck.  It is their responsibility to make sure that only swimmers, coaches and officials are on the pool deck and that conditions on the deck are safe.  No parents are aloud on the pool deck.  Their second job is to reminded kids not to run on the pool deck.  If an accident does occur, they need to immediately let the starter know if the meet needs to be stopped.  They need to stay with the injured person until a coach or official arrives.

Hospitality:

Two or three people need to man the coaches/officials hospitality room. There should be food and drink available at all times.  The coaches and officials are not picky but they do like to eat.  They will stop in for a water, cookie and an entire plate of food.  Elite has found that hot dogs work very well.  They need to be started early in a crock pot, you would be amazed at the number of people who want a hot dog at 9:30 in the morning.  Bagels, donuts work will in the morning, hot dogs, sandwiches and salad throughout the day along with chips and snack food.  Some teams have purchased sandwiches and wraps while other teams buy the cold cuts and rolls and coaches and officials make their own.

The hospitality volunteers need to get the food ready, make coffee, keep the room clean and pass water on the pool deck to timers, coaches and officials.

Computers:

Ellen Mace will be in charge of running the meet.  She has not told us if she needs assistance on the consol.  If she does, we will need one person at the computer desk at each pool for each session.
