Please note that an e-mail entry does not take the place of a disk entry.  A disk entry and accompanying documents (including check) MUST be received prior to the entry deadline.  Any additions/changes after the entry has been processed will be considered “new entries” and will be assessed the meet entry fee of $3 per change.

Meet Format

  Waiver:

The host club has the right to change the format of the meet with the approval of the sanctioning chairman and age group or senior chairman.  These changes would be made for a more efficient swim meet for the swimmers and the host club.  Reasons for these changes would be:

·         To allow more swimmers to swim.

·         To conform to facility capacity limits or for facility safety concerns.

·         To condense the meet into smaller time frame.

Some of the changes that can be made: 1) add a session, 2) heat limit distance events, 3) to condense sessions and 4) eliminate relays.

Meet information, Hy-Tek Event List (HYV.file), and meet results will be posted on New Jersey Swimming website (www.njswim.org).

Meet Requirement

   Statement:

·         This meet qualifies as "one" of the three required short course meets to be eligible for the New Jersey SC Zone Championship Team or for New Jersey National Championship Reimbursement.

Coaches Eligibility:

·         All coaches “on the deck” must be members of USA Swimming.

·         Coaches must show coaching card for entrance to facility.

·         Coaches must have coaching card visible at all times.

·         Coaches must have the GREEN color cards to be admitted on deck. 

Swimmers Eligibility

  • All swimmers must be member of USA – Swimming to enter and compete in this meet.
  • Swimmer’s age as of the first day of the meet determines swimmer’s age for the entire meet. (February 4, 2007).
  • “NO TIMES” or “NT” are not permitted.
  • All swimmers may enter a maximum of three events.

Meet Format:

·         This meet will be run in accordance to current USA Swimming Rules.

·         This meet will be run as a time final meet.

·         This meet will be deck seeded with coaches checking in/scratching all swimmers. 

·         10 & Under Swimmers will report to the marshalling area in the gym for organizing heats and lanes and escorted to the pool.

·         11 & over swimmers will report to the blocks on their own.

·         PARENTS OF SWIMMERS ARE NOT PERMITTED ON THE POOL DECK, EXCEPT WHEN TIMING, AND/OR OFFICIATING.

Pre-meet info:  

  • Meet Information, HYV File, any updates, timing assignments, warm-up assignments, results, C-File results and any updates will be posted at www.njswim.org.
  • All teams will receive via e-mail information concerning any changes of split warm-ups and lane assignments of timers. All clubs with entries will be required to assist the timing in each lane. The Jersey Gators will provide on timer per lane.

Warm-up Procedure:

New Jersey Swimming Warm-up and Safety Guidelines:

  • Warm-ups will be run under New Jersey Swimming Warm-up and Safety Guidelines.  Warm-ups will include general warm-up lanes, sprint lanes, and pace lanes.
  • Teams will be assigned lanes for warm-ups.  When more than two teams share a common lane for warm-ups, all teams must agree to a warm-up procedures.  If clubs sharing a lane can’t agree on a warm-up procedure, that lane will be a general warm-up lane.
  • All swimmers are entitled to a fair and comparable warm-up.  All teams MUST get the same opportunities for general warm-up lanes, sprint lanes, and pace lanes.

Entry Into Pool:

·         All swimmers must enter the pool from the starting end of the pool.

Host Team Monitoring Warm-ups.

  • New Jersey Swimming officials will monitor warm-ups.
  • Uniformed and designated meet marshals will monitor warm-ups.
  • All general warm-up lanes will swim in a counterclockwise direction.

Warm-up with assigned lane procedures.

  • When all teams are assigned their own warm-up lanes, (without any team sharing a lane with another team) teams can run their own warm-ups.

Warm-up Schedules.

  • The warm-up sessions will be two 25-minute warm-ups divided by teams.  These two sessions will be followed by a 10-minute session of all sprint lanes.

Entry Times:

  • New Jersey Swimming does not allow ‘NT’ or ‘No Time’ to be used as an entry time.
  • All entry times must be slower than Qualifying Time Standard for this meet.
  • All entry times will be accepted.  Events will be seeded first by SC Yards, then by LC Meters, and then by SC Meters.

Check-In:

·         All check-in sheets must be turned into the scoring table 30 minutes before the start of each session.  Swimmers that are swimming will have a line through their name.  Swimmers that are being scratched will have their names circled with a “SCR” next to the circle.  Swimmers scratching a single event will have a line through his/her name and the event number circled with “SCR” next to the circle.

Heat Limited Events:

·         The 500 free will be limited to a maximum of 6 heats (3 women, 3 men, or combination thereof).  The fastest three entered heats will swim in the meet.  Swimmers in the 500 MUST supply their own counters and timers.  The event will be swum alternating women & men, fastest to slowest, combining heats if needed.

·         Refunds will be mailed to the clubs with swimmers that did not swim and were below the heat limit number.  These refunds will include the names of the swimmers and the events that they were cut from.  Refunds will be mailed within one week of the conclusion of the meet.

*Starts:

·         Over-the-head starts may be used.

Awards:

·         Medals will be awarded to the top three finishers in all events.

Entry Fees:

·         $3.00 per event for each swimmer.  Make checks payable to: Jersey Gators (Sussex – Warren).

Admissions and

Programs:

·         Admission at the door is $3.00 for adults, children are admitted free. Doors will not open until 6:45am on Sunday.

·         A program will be available for purchase at $3.00 per session.

Entries:

·         All entries must be made using HY-Tek software on a new (clean) 3.5” disk.  “NO TIMES” or “NT” are not permitted.  “UN” is the designation for an unattached swimmer.  All Unattached swimmers must be listed on the back of the summary page.

·         A Summary Sheet, Waiver, and Meet Verification Form must be included with each team entry. Heat sheets will be prepared by computer during the course of the meet.

·          In the interest of the four hour rule, the host reserves the right to limit the number of entries. Coaches will be notified if swimmers or teams cannot be entered.  Deck entries at discretion of the meet director.  Hy-Tek file name is JGGH0207.  QUESTIONS? Call Ed Dellert at 973.764.5252.

·         The meet entry coordinator will respond to e-mail entries within 48 hours. If you do not receive an e-mail response within 48 hours, assume that your email has not been received.  It then becomes the e-mailer’s responsibility to make sure that the host club’s meet entry coordinator receives the e-mail.  If you do not receive an e-mail response, you must contact the entry coordinator by email or phone or mail with your entries. 

Results:

·         Final results will be mailed or e-mailed to participating clubs.  Individual results will be sent at a cost of $10.

Host Club Responsibilities:

The host club responsibilities:

·         The host club will provide a single timer in each lane through out the meet.

·         The host club will have stopwatches available for volunteers helping to time

·         The host club will e-mail all club entries back to the participating clubs.

·         The host club will create a warm-up schedule that will be fair and equal to all teams.  This warm-up schedule will be e-mailed to all participating clubs no later than 72 hours before the meet

·         The host club will create timing assignments that are fair and equitable with as many teams participating as possible.  These timing assignments will be e-mailed to all participating clubs no later than 72 hours before the meet.

Participating Club Responsibilities:  

 Participating Clubs responsibilities:

  • Participating clubs must help with timing assignments. Timing assignments will be e-mailed to participating clubs 72 hours prior to the meet.
  • Participating club parents must stay off the pool deck except for timing assignments.
  • Participating clubs should help with officiating whenever possible.  List the club contact for club officials on meet summary.

Concessions:

·         Food and drink will be sold throughout the meet.

Vendor:

·         A vendor will be at the meet selling swimming related items.

Hospitality:

·         Officials and coaches will be given coupons for drinks and a sandwich or bagel.  The coach’s coupon will be available when picking up team’s meet packet. 

Directions:

 The Blair Academy pool is located off Route 94 in Blairstown, NJ.

 

 Traveling west on Route 80 take exit 12 (Hope/Blairstown), bear right at the end of ramp (toward Blairstown); continue across narrow bridge to Route 94 (about 6 miles).  Turn left onto Route 94, continue to third gas station on left (approximately one-half mile), and turn right at Blair Academy sign.  Continue through 2 short blocks, and continue to SECOND entrance (golf course entrance).  Continue past tennis courts and the pool will be the building on left-hand side

In consideration of the acceptance of this entry, I/we hereby, for myself/ourselves, my/our heirs, administrators and assigns, waive and release any and all claims against USA-Swimming, NJ Swimming, Blair Academy, Jersey Gators Swim Team and the Sussex-Warren Aquatic Club, Inc. and their staff(s) for any injury and/or expenses incurred by me/us at the swim meet, or while on the road to and from the meet.  I/we am/are a bone-fide amateur athlete(s), USA-Swimming and New Jersey Swimming registered, and eligible to compete for all of the events I/we have entered.

 

Meet Verification: I hereby certify that all swimmers and coaches listed on the Entry Summary or on disk entry for Groundhog Invitational to be held on February 4, 2007 are registered members of New Jersey Swimming and USA-Swimming, all USA-Swimming numbers are correctly listed and, unless otherwise noted, are not required to swim unattached (UN) due to the 120 day transfer.  Also I acknowledge that deck access is limited to coaches and/or officials working the meet and displaying their credentials.

 

Article 302.4 of the USA-Swimming Rules and Regulations.  FALSE REGISTRATION: An LSC may impose a fine of up to $100 per event against a member coach or a member club’s representative signing a document which indicates a swimmer is registered with USA-Swimming for a meet when that swimmer is not properly registered or eligible to compete for that club.  This will be enforced by the LSC and the LSC will be entitled to the fines imposed.
